Confirmation of Hire
To confirm your hire with SWITCHLIVE, please reply in writing (by email) to your SWITCHLIVE contact accepting the quote provided. Your written confirmation means you agree to these terms and conditions, and it forms the basis of our contract.
1. Booking and Payment
Confirmation requires:
Written acceptance of the quote
Full payment in cleared funds before collection (first-time hirers)
Proof of valid ‘Hired In’ equipment insurance (see Section 3)
Credit terms are available to established clients only by prior written agreement. We may take a security deposit or card pre-authorisation, which we return once the equipment is checked in satisfactorily. Payment is by bank transfer. Prices exclude VAT unless stated. We may refuse any hire at our discretion.
2. Collection and Return
Collection and return times are agreed in advance. Equipment is collected from and returned to our Biggin Hill warehouse unless we agree otherwise in writing. We may ask for photo ID on collection, and only named, authorised persons may collect.
Please check the equipment on collection and raise any issues before leaving. Equipment must be returned on time, clean, complete and packed as supplied. Late returns are charged at the daily hire rate for each day or part day, unless agreed in advance.
3. Insurance
You must hold ‘Hired In’ equipment insurance covering the full replacement value of the equipment for the entire hire period, including theft, loss and damage, both in transit and on site. Proof of cover is required before collection. Any policy excess is your responsibility.
4. Responsibility for Equipment
The equipment is at your risk from collection until it is returned to us and checked in. You agree to:
Use it safely, by competent operators, in line with manufacturer guidance and all applicable laws
Keep it secure and never leave it unattended in vehicles or unsecured locations
Not sub-hire, lend, modify or take it outside the UK without our written consent
Obtain any licences required, including Ofcom PMSE licences for radio equipment
5. Condition and Faults
Equipment is supplied tested and in working order. If a fault develops during hire, stop using the item and contact us immediately. Please do not attempt repairs. We are not liable for faults caused by misuse, incorrect operation or incompatible equipment.
6. Loss and Damage
You will pay the full cost of repair, or of replacement at current new list price, for any equipment lost, stolen or damaged during the hire period. Fair wear and tear is excepted.
You must report theft to the police immediately, obtain a crime reference number and inform us within 24 hours. Hire charges continue until lost equipment is replaced or paid for.
We will check equipment in within 2 working days of return. Missing items, damage or excessive cleaning will be charged to you.
7. Health and Safety
Equipment is maintained and electrically tested in line with relevant legislation. As this is a dry hire, you are responsible for safe installation, operation and risk assessment on site, including any RAMS required by the venue.
8. Cancellation
More than 7 days before collection: no charge
2 to 7 days before collection: 50% of the hire fee
Less than 48 hours before collection, or no-show: 100% of the hire fee
If you need to reschedule, we’ll do our best to accommodate your new date.
9. Confidentiality
All hires are treated as confidential. We will not share client or project details without written approval.
10. Indemnity and Liability
You agree to indemnify SWITCHLIVE against claims arising from:
Injury, loss or damage resulting from the use of the equipment during the hire period
Your actions or omissions, or those of anyone using the equipment on your behalf
We are not liable for indirect or consequential loss, including loss of profit, revenue or reputation arising from equipment failure. Our liability is capped at the hire fee paid. Nothing in these terms limits liability that cannot be limited by law.
11. Data
We hold your details and ID only to manage hires, verify identity and prevent fraud, in line with UK GDPR.
12. Governing Law
These terms are governed by the laws of England and Wales.
